Recruitment Procedure

Recruitment

  • The Library will post an announcement for a vacancy for a Library Student Assistant when needed.
  • The Library will send out an email with the job description for the position.
  • To apply, students need to submit a resume and their preferred working hours.
  • Only students who are registered for the current semester qualify.
  • The Library will review the profiles, and shortlisted applicants will be called in for an interview.

Contract

  • At the start of each semester, it is important to sign your contract with the HR Department.
  • You have to email a PDF copy of your passport and resume to library@aud.edu
  • You will be informed when you can sign your contract as a part-time employee with HR.

 

Attendance

  • Be punctual. Always be on time for your shift.
  • You are required to work a designated number of hours weekly with night and weekend shifts.
  • As per your contract, you are allowed up to three (3) absences and six (6) tardies per semester.
  • If you exceed these limits, your contract will be terminated according to the employment terms.
  • Inform the Access Services Librarian if you need to change your work schedule or cannot come to work to minimize absences.
  • For the 1st and 2nd invalid absences, you will get a verbal warning. For the 3rd invalid absence, you will receive a letter of termination from the Library Director.

Timesheet

  • Fill out the form completely.
  • Always use military time when signing in/out (e.g., 1:00 pm = 13:00) and ask the duty librarian to sign.
  • Do not use a pencil to write on the timesheet; use only blue pens.
  • Forms by student assistants and library staff.
  • Timesheets of the students under the scholarship program must be submitted to the library director after revision by the access services librarian for approval on the portal.
  • Paid timesheets are submitted on the 25th of every month to receive the salary on the 30th of that month.
  • In case of absence or tardiness, notify the Access Services Librarian

Professional Conduct

Professional Conduct

  • Abide by the AUD Code of Student Conduct.
  • Be polite, courteous, and helpful when working with library users, staff, and co-workers.
  • Behave appropriately and properly in a respectful manner that reflects seriousness and maturity.
  • Dress appropriately & modestly. Halter tops, tank tops, short shorts, or bare feet are inappropriate. The way you dress influences the way users see the library, so we expect a clean and presentable appearance that would not offend users or disrupt the workplace.
  • Work quickly, but accurately.
  • Follow procedures and guidelines.
  • Use equipment and supplies properly, but not for personal use. If needed, inform the library staff first.
  • Ask the library staff immediately if you do not understand an assignment or have other questions.
  • Provide all users with top priority, and they should not be turned away without a satisfactory answer or a referral to a library staff member who can help.
  • Immediately report to the library staff any problems you are facing with users. DO NOT CONFRONT the user impolitely.
  • Answer all phone calls on the Circulation Desk phone.
  • When answering the phone, greet the caller with "Good morning/afternoon/evening, AUD Library, how may I assist you?"
  • If there are users present at the Circulation Desk, ask the caller for their request.
  • If the request can be answered directly, apologize to the waiting users and respond to the caller.
  • If the answer requires a detailed response, take the caller’s name and number, informing them that they will be contacted.
  • If a student, faculty member, or visitor inquires about the library director or another library staff member, ask for their name, then call the required staff member to ask if the visitor can come to the assigned office or if the staff member will come out.
  • The Staff Area is accessible only to library staff and student assistants on duty.
  • Emergency door keys and the instructional lab key are stored in the black box in the Information Desk cupboard.
  • For all other library keys, refer to the staff in the Technical Room.
  • Immediately report any problems you see. Clear and present dangers (overflowing water, broken windows, etc.) should be reported to library staff.
  • Keep all records of library use confidential (because it is the law!).
  • Report any work you are not able to finish so that someone else can pick up where you left off.
  • Avoid eating, drinking, and smoking at any time, except during breaks.
  • Avoid placing or receiving personal phone calls during work time. Friends are not allowed to visit during scheduled work time. You are given an hour's pay for an hour's work. Office access is at the discretion of the librarian.
  • If you have issues or problems, discuss them with the Head of Unit or Library Director.

Evaluation and Recognition

  • A performance evaluation will be carried out at the end of each semester.
  • The purpose is to improve your performance, but it will affect the number of designated working hours or dismissals.
